Maybe you have decided that your company's time card software is out of date or non existent. Are you looking for a way to increase your productivity by improving your employee attendance? The systems have become so advanced that they can practically provide everything you need for your business including payroll systems, labor cost reporting, vacation, paid time off and even how much time a person is putting in for a specific project. Labor cost is one of the biggest expenses a company is going to incur so you may as well have an up to date system to track it.

Ask the vendor how you know that they are going to be around in order to update software five years from now. You could ask them for a list of references with phone numbers so you can conduct your own background check with other customers and see how they like the product. This is probably one of the best things you can do to ensure you have a great vendor on your hands. If the vendor is unwilling to give any of this information out then I would think twice about using them. Check with the Better Business Bureau to see if there are positive things to say or if any complaints were any complaints lodged against them. If the company is accredited with BBB, then they will give the vendor a letter rating of A thru F much like when you were in school.

The next question you will want to go over with the vendor are the features the software will have. Talk with your company first to look at some of the needs you may have regarding multiple functions and discuss with your sales person. How nice would it be to easily add or delete an employee and print out their 1099 for tax time knowing it was all connected to your time card software program which accurately reported all the hours that employee logged for the year.

Talk to the software provider about implementation and training of the employees. Will they be able to send someone out to your company to make it easy for everyone to use? At the end of the day you will want a system that keeps frustrations levels low and productivity high.

An uncomfortable but necessary conversation may arise when you talk cost and fees with the vendor. Is there going to be a charge for every little add on or upgrade in software? Will the vendor charge for sending people out to train or is that an added bonus? Please get everything in writing that you talk about so there are no misunderstandings when it is time to go to contract. I was working with a company and wrote down what they said and it saved us $50,000 because they had the decency to stick to what they had promised our company. Needless to say they definitely received that contract from me.

Another important tip is to keep lines of communication open between your company and vendor. If you don't feel that they are working with you in the beginning imagine what it will be like if a problem comes up and you need them there right away. When making your final decisions keep in mind that eventually all of the employees will be using this software and you are looking to have their time card software make your company's life easier.
